Traceability and proof of delivery: transparency that builds trust

Knowing in real time where each parcel is and being able to prove irrefutably that it was delivered correctly are two pillars of any modern logistics operation. Without them, the cost of uncertainty is paid by everyone.

What logistics traceability is

Logistics traceability is the ability to record and check, at any time, the status and location of a shipment throughout its entire transport chain. From the moment the parcel is picked up at origin until its delivery is confirmed, every event is logged with date, time and GPS location.

It is not just about offering a tracking number that the customer can check on a website. Modern traceability involves proactive notifications to the recipient (the parcel is on its way, it will arrive within the next hour), access to the location in real time and an auditable record of every milestone of the shipment.

Digital proof of delivery: more than a signature

Proof of delivery (POD) is the document or record that confirms the goods reached the correct recipient under the agreed conditions. On paper, it was a signature on a delivery note. Today, digital proof of delivery includes much more:

  • Digital signature of the recipient captured on the courier's device.
  • Photo of the parcel at the delivery point, with timestamp and GPS coordinates.
  • Record of the recipient's name or identification.
  • Exact time and verified location of the delivery.
  • Immediate availability of the record in the client portal.

Why traceability reduces operating costs

The customer who does not know where their parcel is calls. Each call to customer service has an estimated cost of between 3 and 8 euros, including agent time, systems and follow-up. An online store with 500 daily orders and a 10% enquiry rate may be paying between 150 and 400 euros a day in incident handling that a good traceability system would prevent.

Digital proof of delivery also drastically reduces "not received" disputes. When there is a photographic record with GPS and a digital signature, claim resolution is objective, fast and documented. For companies that move high-value goods, this is especially relevant.

The customer experience in the final metres

Communication in the last leg of the shipment is one of the most critical moments of the online shopping experience. A message that says "your order will arrive between 10:00 and 12:00" and another that says "your courier will arrive in approximately 20 minutes" generate very different levels of satisfaction. The second option, possible only with real-time GPS traceability, turns the wait into a controlled and comfortable experience for the recipient.
